Service Center, Repair Orders & Warranty Management

Innoventry's Repair and Service Center module is tailored for electronics repair workshops, mobile phone care centers, computer service shops, and equipment maintenance providers. It tracks devices throughout the repair lifecycle from intake job card creation to technician assignment, spare parts consumption, and customer delivery.

1. Customer Intake & Repair Job Card Creation

Used when a customer brings in a damaged or malfunctioning device (e.g., smartphone, laptop, printer, appliance) for diagnosis or servicing.

  • Desktop Navigation: Repair > Repair Request Form > New Request
  • Web / Mobile Route: /main/repair/manage

Step-by-Step Procedure

  1. Customer Details: Select an existing customer or enter the customer's name and mobile number.
  2. Device Information:
    • Select the product category (e.g., Smartphone, Laptop).
    • Enter the Brand & Model Name (e.g., Dell Inspiron 15).
    • Enter the unique Serial Number or IMEI Number.
  3. Problem / Complaint:
    • Select reported issues from the choice list (e.g., Screen Broken, No Display, Battery Drain, Liquid Damage) or enter custom notes.
  4. Physical Condition & Accessories:
    • Record the device's intake condition (e.g., Minor scratches on rear panel).
    • Check off accessories received with the unit (e.g., Charger, Laptop Bag, SIM Tray).
  5. Estimate & Advance:
    • Enter the Estimated Repair Cost and Estimated Delivery Date.
    • If taking an advance deposit, record the token amount in cash or UPI.
  6. Save & Print Job Card:
    • Click Save. Print the Job Card / Customer Receipt Slip containing the barcode job ID, estimated delivery date, and terms. Give one copy to the customer and attach one to the device.

2. Technician Assignment & Repair Status Tracking

Tracks the progress of open repair requests across your workshop team.

Step-by-Step Procedure

  1. Open Repair > Repair Status Board (or /main/repair/manage).
  2. Select the repair ticket and assign it to an internal engineer/technician.
  3. Update the repair status as work progresses:
    • Received: Device logged into inventory.
    • Under Inspection: Technician diagnosing the defect.
    • Waiting for Approval / Estimate: Waiting for customer confirmation on revised repair costs.
    • Waiting for Spare Parts: Requisitioning replacement parts from store.
    • Repaired / Tested: Servicing completed and passed quality test.
    • Cancelled / Unrepairable: Device returned without repair.

3. Spare Parts Consumption on Repair Tickets

When a technician uses internal inventory (e.g., a replacement screen, battery, SSD, or IC) to complete the repair.

Step-by-Step Procedure

  1. In the repair ticket, click Add Spare Parts.
  2. Select the inventory item from your stock (e.g., iPhone 13 OLED Display).
  3. The system deducts the part from warehouse inventory.
  4. The cost of the spare part and applicable service tax are automatically appended to the final repair invoice.

4. External Service Center Outsourcing

Used when an authorized warranty device or complex motherboard repair must be sent to a third-party brand service center (e.g., sending an HP laptop to HP Regional Service Center).

  • Desktop Navigation: Repair > Outward to Service Center

Step-by-Step Procedure

  1. Click New Service Center Outward.
  2. Select the external service vendor and select the pending customer repair tickets being dispatched.
  3. Print the outward gate pass and dispatch the physical items.
  4. When the external vendor completes the repair and returns the device, open Repair > Service Center Delivery to receive the units back into your workshop inventory.

5. Customer Delivery & Final Invoicing

Used when the customer returns to collect their repaired device, settle charges, and receive a formal tax invoice.

  • Desktop Navigation: Repair > Repair Delivery

Step-by-Step Procedure

  1. Open Repair Delivery and search by customer mobile number or scan the Job Card barcode.
  2. The system loads the ticket details, replaced spare parts, and service labor charges.
  3. Adjust service charges or apply any promotional discounts.
  4. Any advance deposit paid at intake is automatically credited against the bill.
  5. Collect the remaining balance via Cash, UPI, or Card.
  6. Click Deliver to Customer:
    • The status changes to Delivered.
    • A GST tax invoice is printed detailing spare parts (with HSN codes) and repair labor (with SAC codes).
    • The customer is given their repaired device along with accessories.
