Pharmacy, Chemist & Healthcare Billing

Innoventry's Chemist and Pharmacy module meets statutory drug store compliance requirements while accelerating retail counter sales. It tracks registered prescribing doctors, generic drug compositions (salts), prescription requirements for Schedule H drugs, and batch-wise expiry monitoring.

1. Doctor Directory Setup

Maintains a master register of local physicians, specialists, and hospital clinics whose prescriptions are presented by patients.

  • Desktop Navigation: Chemist > Doctor Master > New Doctor
  • Web / Mobile Route: /main/chemist/manage

Step-by-Step Procedure

  1. Enter the Doctor's Name (e.g., Dr. Rajesh Mehta, MD).
  2. Enter the Medical Council Registration Number (mandatory for statutory audit registers).
  3. Specify their Speciality (e.g., Cardiology, Pediatrics, General Medicine, Orthopedics).
  4. Enter their affiliated Clinic / Hospital Name, address, and phone number.
  5. Save the doctor. The doctor will appear in the quick dropdown on the pharmacy billing counter.

2. Drug Salt & Generic Composition Mapping

Enables pharmacy staff to recommend generic chemical substitutes when a specific branded medicine is out of stock.

  • Desktop Navigation: Chemist > Drug Compositions

Step-by-Step Procedure

  1. Define Drug Composition:
    • Enter the active chemical salt name (e.g., Paracetamol 500mg + Ibuprofen 400mg, Amoxicillin 500mg).
    • Enter standard medical Usage / Indication (e.g., Analgesic & Anti-inflammatory, Antibiotic).
    • Check Prescription Required if classified under Schedule H, H1, or X.
    • If a salt has been recalled or banned by the government, check Banned to block all future sales across the system.
  2. Link Medicine to Salt:
    • Open the Item Master for brand-name medicines (e.g., Crocin 650, Dolo 650, Combiflam).
    • Link each item to its active chemical salt composition.

Finding Generic Substitutes during Billing

  • If a customer asks for a medicine that is currently out of stock, press Alt+S (or click Substitute Lookup).
  • The system displays all other in-stock brands sharing the exact same active salt composition and strength, along with their batch numbers and prices.

3. Retail Prescription Billing (Schedule H Compliance)

Ensures that scheduled prescription drugs are billed only after recording the prescribing doctor's details.

  • Desktop Navigation: Transactions > Sale
  • Web / Mobile Route: /main/transaction/sale

Step-by-Step Procedure

  1. Scan or type the medicine name.
  2. If the drug is flagged with Prescription Required, the system highlights the Doctor Selection field.
  3. Select the prescribing doctor from the directory, or type a new doctor's name.
  4. Enter the Patient Name and contact number.
  5. Select the dispensing batch:
    • The system presents batches sorted by Earliest Expiry First (FEFO).
    • Verify the expiry date printed on the blister strip matches the selected batch.
  6. Enter quantity (tablets, strips, or bottles) and complete the sale.
  7. The printed cash memo includes the patient name, doctor name, drug batch number, and expiry date as mandated by drug regulatory authorities.

4. Near-Expiry Medicine Management & Supplier Returns

Prevents financial losses by returning unsold medicines to pharmaceutical distributors before they reach their expiry date.

  • Desktop Navigation: Reports > Chemist Reports > Near Expiry Register

Step-by-Step Procedure

  1. Open the Near Expiry Register.
  2. Select the expiry window: Next 30 Days, Next 60 Days, or Next 90 Days.
  3. The report lists all medicine batches approaching expiry grouped by primary distributor/supplier.
  4. Select the expired or near-expiry batches and click Generate Purchase Return (Debit Note).
  5. An outward debit note is automatically created for the distributor, and the stock is quarantined from sale counters.
